Artwork, photographs and project files provided to SignHub may contain personal information about employees, customers, contractors, community members or other individuals.

When you provide information about another person, you confirm that you are authorised to provide it to us and to instruct us to use it for the relevant project.

Please do not provide sensitive, confidential or security-classified information unless it is genuinely required for the work and appropriate arrangements have been agreed with us beforehand.

4. How we collect information

We may collect personal information:

We may send you news, product information or promotional communications where:

  • you have subscribed or otherwise consented;
  • you have an existing business relationship with us and the communication is reasonably relevant to that relationship; or
  • the communication is otherwise permitted by law.

You can unsubscribe from electronic marketing at any time by using the unsubscribe link or instructions in the message, or by contacting us.

Unsubscribing from marketing will not prevent us from sending information needed to administer an enquiry, quote, order, account, warranty or existing business relationship.

We do not sell or rent personal information to third parties for their own marketing.

7. Cookies, analytics and online technologies

Our website and online store use cookies and similar technologies to:

We require service providers and contractors that receive personal or project information to use it only for the relevant purpose and to handle it confidentially.

We do not sell, rent or trade personal information.

9. Shopify, payments and website services

Our online store is hosted by Shopify. Shopify provides the ecommerce platform, shopping cart, store security and related services used to operate the website.

Information submitted through the online store may be collected and processed by Shopify, its related entities, payment providers and other service providers involved in operating the store or completing a transaction.

Where you use a third-party payment method or website feature, the relevant provider may separately collect and process information in accordance with its own privacy policy.

10. Overseas processing and disclosure

Some of the service providers we use operate or store data outside Australia. As a result, personal information may be processed or accessed in countries including the United States, countries within the European Union, and other locations used by Shopify and our cloud-service providers.

The location of cloud infrastructure may change over time. We take reasonable steps when selecting and managing service providers to consider their privacy, confidentiality and information-security arrangements.

Where Australian privacy law applies to an overseas disclosure, we take reasonable steps required by law in relation to the overseas recipient.

11. Security

We use reasonable administrative, technical and physical safeguards to protect personal information from loss, misuse, interference and unauthorised access, modification or disclosure.

These measures include access controls, secure authentication, staff confidentiality requirements, system maintenance, backups and security processes appropriate to the nature of the information and our operations.

No website, transmission method or storage system is completely secure. Please avoid sending highly sensitive or confidential information through ordinary email or website forms. Contact us first where special handling arrangements may be required.

12. Retention

We retain personal information only for as long as reasonably necessary to:

  • fulfil the purpose for which it was collected;
  • maintain appropriate customer, production, artwork and warranty records;
  • provide repeat-order and after-sales support;
  • resolve disputes or complaints; and
  • meet accounting, taxation, legal and regulatory obligations.

Some transaction, project and business records may be retained for up to seven years, or longer where required by law or reasonably necessary for an ongoing matter.

When information is no longer reasonably required, we take reasonable steps to delete it, destroy it securely or de-identify it, subject to technical, archival and legal limitations.

13. Access and correction

You may ask us to:

  • confirm whether we hold personal information about you;
  • provide access to information we hold about you; or
  • correct information that is inaccurate, incomplete or out of date.

We may need to verify your identity before processing a request.

We aim to acknowledge requests promptly and ordinarily respond within 10 business days. More complex requests may take longer, in which case we will explain the expected timeframe.

In limited circumstances, we may be unable to provide access to some information. Where appropriate, we will explain the reason.

14. Privacy complaints

Please contact us if you believe we have mishandled your personal information or failed to follow this policy.

We will:

  • treat the complaint respectfully and confidentially;
  • acknowledge it ordinarily within two business days;
  • investigate the circumstances objectively;
  • aim to provide a response within 7–10 business days; and
  • keep you informed if additional time is reasonably required.

If you are not satisfied with our response and the Privacy Act applies to the matter, you may contact the Office of the Australian Information Commissioner.

15. Data breaches

We maintain processes for identifying, containing, assessing and responding to suspected data breaches.

Where a breach is likely to cause serious harm and notification is required under the Notifiable Data Breaches scheme, we will notify affected individuals and the Office of the Australian Information Commissioner as required by law.

16. Children’s information

Our website and online store are intended for business customers and adults. We do not knowingly seek to collect personal information directly from children.

If you believe a child has provided personal information to us without appropriate authority, please contact us.

17. Third-party links

Our website may contain links to websites operated by other organisations. We are not responsible for the privacy practices, content or security of third-party websites.

You should review their privacy information before providing personal information to them.
